🏢 Who Is Gym Art?
Gym Art makes apps and websites that help gymnastics competitions run smoothly. If your child competes in gymnastics, they've probably used one of our tools:
- Gym Art Meets – for competition registration and scoring
- Judge's Companion – the app judges use
- gymart.org – our website
We're based in Montréal, Canada, and we take protecting your child's information very seriously.
📋 What Information Do We Collect About My Child?
We collect only the information needed to help your child compete safely and fairly:
- Name – so judges know who's competing
- Club name – to identify your gym
- Competitive level – (beginner, advanced, elite, etc.)
- Age category – (for fair competition groupings)
- Date of birth – only to verify age eligibility
- Floor music – if uploaded by the club for competition use
We do NOT collect:
- Home address or phone number
- School information
- Social media accounts
- Location data or GPS tracking
- Medical information (unless you voluntarily submit it during registration)
- Passwords or login credentials from your child
📹 What About Videos and Photos of My Child?
Some competitions record performances, and we want you to understand exactly how this works:

| Is recording automatic? | No. Recording is OFF by default. Only if the competition organizer turns it on. |
| Do you ask permission? | Yes. We require your written consent before any video is recorded. |
| Can I remove videos? | Absolutely. Just ask. We delete them immediately—no questions asked. |
| Do you use facial recognition? | Never. We don't use any biometric analysis or facial recognition on videos. |
| How long are videos kept? | 1 year (or the date the organizer chooses). Then they're automatically deleted. |
Videos are stored securely in Canada. They can only be viewed within the Gym Art mobile app by users who are signed in. A video will only appear if all of the following are true: the competition organizer has turned on video publishing, the meet has been made public, the gymnast's level has videos enabled, and the gymnast's own video publishing setting is turned on. If any of these is off, the video is not shown.
🔒 How Do You Protect My Child's Data?
We use industry-standard security practices:
- Encryption – all data is encrypted when traveling to our servers and while stored
- Canadian storage – data is kept in Montréal, Canada only
- Limited access – only authorized staff and your child's coaches/organizers can see the information
- No advertising – we don't show ads, track browsing, or use cookies for marketing
- No data sales – we never sell or share your child's data with advertisers or third parties
👁️ Who Can See My Child's Information?
Different people see different amounts of information:

| Judges | Name, competitive level, and club only. No birth date or personal details. |
| Your Club's Coaches & Organizers | Full registration information (name, level, age category, birth date). |
| Other Clubs (registered for the same event) | Nothing. They cannot see any information about your child during the registration process or at any other time. |
| The Public | Only if the competition is made public: competition scores and names. If private, nothing. |
⚖️ What Rights Do I Have as a Parent?
You have complete control over your child's information. You can:
- Ask what data we have about your child
- Get a copy of all their data
- Correct any mistakes
- Request we delete your child's data
- Ask us to remove videos
- Opt out of data collection (if the organizer allows)
- File a complaint if you're concerned

⏰ How Long Do You Keep My Child's Data?
We don't keep information longer than needed:

| Videos | 1 year from the competition (or date organizer sets). Then automatically deleted. |
| Competition Scores | 3 years from the competition (or date organizer sets). Then automatically deleted. |
| Floor Music | 3 years from the competition (or date club sets). Clubs are required to choose a date. Then automatically deleted. |
| Medical Notes | 6 months after the event. Then automatically deleted. |
| Registration Info | Kept while your child competes. Deleted when organizer removes the competition. |
Everything is automatically deleted when the time is up. No action needed from you.
👧 Age Rules: When Do We Need Your Permission?
The rules are clear and based on your child's age:

| Under 13 | We need your permission for everything. You're in complete control. |
| 13–15 Years Old | We still need your permission. Your child cannot consent on their own yet. |
| 16 and Older | Your child can consent on their own, but you can still manage their data if you choose. |
These rules comply with COPPA (USA), GDPR (Europe), and Quebec's privacy laws.
✋ No Ads, No Tracking, No Surprises
Here's what we absolutely do NOT do:
- ❌ Show ads or targeted advertising to your child
- ❌ Track your child's browsing across other websites
- ❌ Sell or share data with advertisers or marketing companies
- ❌ Use data to build marketing profiles about your child
- ❌ Use cookies for tracking (we use only essential technical cookies)
